As an Office Coordinator you will coordinate and administer all office support functions, provide guidance on policies and procedures, and assist with plant human resource duties.

- Provide administrative support to the Plant Manager, participate on the leadership team and regularly attend meetings.
- Review and enter timesheets into SAP and reconcile payroll reports.
- Manage applicant flow in the applicant tracking system. Schedule interviews, potentially participate in onsite interviews, manage record retention of recruiting materials and conduct New Hire Orientation.
- Support the communication and administration of HR/ site policies in coordination with the Plant Manager and direction from Valero Renewables Human Resources.
- Assist the Corporate Benefits Department with benefits open enrollment and are a resource for basic benefits questions.
- Represent company at career fairs and community outreach events.
- Generate various HR reports in SAP.
- Partner with the Plant Manager to coordinate daily tasks and responsibilities for the Administrative Assistant.
- Serve as Site Administrator for the Learning Management System.
- Reconcile and verify purchase card transactions, ensuring proper documentation, coding, and adherence to budget guidelines.
- Organize employee recognition and appreciation events and manage plant-wide internal communications.
- Coordinate special events such as United Way Kickoff, family day, biometric screenings, and volunteer activities.
- Coordinate charitable giving initiatives.
- Coordinate meeting logistics, including room reservations, setup and other administrative needs.
- Develop and maintain plant filing system, ensuring retention policy compliance.
- Serve as the primary backup for front desk activities, including answering phones and greeting visitors.
- Coordinate support services for the administration building, including janitorial and lawn/landscaping services.
- Manage employee uniform rentals and winter boots program.
- Verify contractor safety training compliance by administering and documenting training when needed.
- Serve as the primary contact for plant tour requests.
This position is hourly nonexempt status, which means you are eligible for overtime pay.
Qualifications
Minimum Requirements:
- High School Diploma or GED required.
- 5 years of administrative or office management experience required.
- Able and willing to work on-site and in-person, required.
Preferred Requirements:
- Associate’s degree preferred.
- Human Resource experience preferred.
- Experience with standard computer software programs, i.e. Microsoft Outlook, Word, and Excel preferred.
